The Nuclear Medicine Lead Administrative Assistant plays a critical role in ensuring the smooth daily operations of Nuclear Medicine and PET/CT services. Reporting to the Clinic Manager, this position is responsible for overseeing administrative staff, scheduling and insurance authorization workflows, and maintaining high standards of patient care and service delivery.
The Lead coordinates complex scheduling that requires alignment with radiopharmaceutical preparation, scanner availability, physician and technologist schedules, and insurance authorizations. They ensure accuracy in patient registration, insurance verification, and procedure preparation while serving as a key point of communication between patients, referring physicians, technologists, and clinical staff.
In addition to managing staff training, support performance, and compliance with policies and regulations, this position develops reports, monitors operational efficiency, and identifies opportunities for process improvement. The role requires strong organizational, analytical, and communication skills, as well as the ability to balance competing priorities in a fast-paced, patient-focused environment.
This is a vital leadership role that ensures safe, timely, and efficient access to Nuclear Medicine services and supports the department’s mission of providing exceptional patient care.
Salary Range: $86,400-184,800/year

Minimum 3 years of administrative or scheduling experience in a healthcare setting.

Prior experience in a lead role overseeing staff and workflows.

Strong knowledge of scheduling systems (e.g., Epic/CareConnect) and insurance authorization processes.

Demonstrated ability to manage multiple priorities, meet tight deadlines, and work in a high-volume, fast-paced environment.

Excellent verbal, written, and interpersonal communication skills.

Strong computer proficiency, including Microsoft Word, Excel, and data management tools.

Proven organizational and problem-solving skills with a high degree of accuracy and attention to detail.
Preferred:

Bachelor’s degree in healthcare administration, business, or related field OR equivalent combination of education and relevant experience.

Familiarity with radiopharmaceutical coordination and time-sensitive diagnostic scheduling.

Knowledge of regulatory compliance and hospital operational policies.

Experience in process improvement initiatives and performance management
