Under the general supervision of the Manager, the Patient Services Representative provides exceptional front desk and administrative support to ensure a smooth and efficient patient experience. This role includes welcoming patients, coordinating appointments, managing insurance verification, and facilitating accurate billing and documentation processes.
Key Responsibilities:

Greet and assist patients in person and by phone, delivering prompt and courteous service.

Pre-register and check in new patients, verifying and updating demographic and insurance information in Care Connect.

Assess new patients for insurance pre-certification and obtain required authorizations.

Prepare billing and medical record documents for patient visits.

Communicate effectively with back-office staff regarding patient needs, scheduling issues, and other concerns.

Collect and review charge documents daily for accuracy and completeness; submit to the billing office in a timely manner.

Process payments (cash, credit card, etc.), issue receipts, and make deposits to the finance office.

Schedule and manage patient appointments in Care Connect for assigned physicians and clinics.

Coordinate patient check-out, including arranging follow-up diagnostic studies and scheduling with other departments or offices.

Assist with collection and reporting of census and statistical data.

Schedule all outpatient clinic visits for physicians utilizing the multidisciplinary center.

Perform additional duties as assigned by the Supervisor or Manager.
- Typing skill sufficient to input verbal or written data into CRT with accuracy and speed.

- Oral and written communication skills to convey information clearly to patients, faculty and staff
- Ability to deal with patients from diverse backgrounds, referring physicians, clinic staff, insurance companies, the media, government agencies and other groups

- Skill in performing basic arithmetic operations; maintaining statistics and performing cashiering functions
- Ability to maintain confidentiality on patient and physician issues
- Ability to research medical diagnosis and procedure codes in CPT Code book and ICD-9_CM code book
- Demonstrated excellent interpersonal skills, customer service skills, time management and organizational skills
Preferred:
- English/Spanish bilingual oral communication skills to conduct admission/registration interviews.
- Detailed knowledge of hospital admissions/registration procedures.
- Knowledge of third party insurances, government programs and other insurance agencies for purposes of obtaining any necessary authorizations for treatment.
- Knowledge of medical terminology to communicate effectively with physicians, nurses and other members of the health care community.
- Working knowledge of patient-related policies and procedures, as well as a thorough understanding of the University system.
- Experience with UCLA encounter registration system.
- Recent patient registration and appointment scheduling experience.
- Proficiency with Microsoft Word & PC and access database systems
- Experience in working in a medical clinic setting.
