The mission of the Patient Access Organization is to provide timely, convenient, and equitable access for all UCLA Health patients and the communities we serve. UCLA Health runs and operates over 200 outpatient clinics located in Southern California with over 3,000,000 outpatient encounters annually. The Patient Access Organization has the intent to scale and grow further over the next few years. Within the Patient Access Organization is the core operations team, Capacity Management. As part of the Centralized Template Management Infrastructure, the Scheduling Template Infrastructure Specialist works as part of the group tasked with the centralization of clinic schedules and template changes/edits for UCLA Health providers. The incumbent field requests from operations managers and directors, ensures compliance to established department policies and procedures, obtains necessary approval(s), and makes changes in the EPIC system to schedules/templates. Creates, analyzes, and supports provider and ancillary templates and scheduling configuration in order to maximize patient access for assigned operational units. The incumbent may assist in building CareConnect templates for all new clinical faculty, ensuring that templates align with contractual obligations and established department policies. Ensures that provider and ancillary schedules are generated/modified efficiently and in a timely manner. In this capacity, the incumbent interacts closely with the PAO leadership, operations managers and directors, clinical chiefs, and faculty members.
Salary range: $32.95-$67.53
- Bachelor’s Degree required or equivalent experience
- Experience with CareConnect (Epic) or a comparable EMR system
- Certification in at least one Epic Application or willingness to obtain certification within 6 months of hire
- Experience with physician/clinic schedules and workflows
- Strong analytical and problem-solving skills
- Proficiency in MS Excel (with an emphasis on linking, spreadsheet management, data manipulation, and analysis)
- Skill in writing concise, logical, and grammatically correct correspondence.
- Interpersonal skills to communicate diplomatically and effectively with all levels of faculty, staff, and non-University entities
- Skill in performing a variety of tasks independently with minimal direction, in a timely manner under conditions of fluctuating workloads, competing requirements, and changing deadlines and priorities.
- Skill in performing with frequent interruptions and/or distractions
- Ability to understand and adhere to HIPAA Regulations, Policies, and Procedures
- Ability to use judgment when dealing with confidential information.
- Skill in dealing with confidential material with tact and sensitivity
- General knowledge of medical office services, procedures, and terminology.
- Ability to travel to and from all PAO site locations & throughout UCLA campuses.
