As the Contracts and Agreements Administrator for the Department of Pathology and Laboratory Medicine, you will play a critical role in managing the full lifecycle of clinical contracts and vendor purchasing agreements. From drafting to execution and compliance, you’ll collaborate across teams to ensure every agreement meets institutional standards and legal requirements.
Key Duties:
• Manage the intake and administration of clinical contracts and vendor purchasing agreements, including drafting standard language, conducting initial reviews, redlining documents, validating sole-source justifications, developing counterproposals, coordinating approvals, and finalizing execution.
• Serve as a liaison between the Department and key stakeholders—including the Dean’s Office, Health System, and Campus Legal—to ensure contracts align with applicable laws, regulations, and institutional policies.
• Oversee the end-to-end procurement process, from needs assessment and supplier sourcing to contract negotiation and closure, ensuring cost-effective and favorable terms.
• Maintain thorough records of contract terms, negotiations, amendments, and compliance documentation to support transparency and accountability.
• Manage Sales & Service Agreements (SFSAs) and other business contracts with external clients, ensuring timely amendments and renewals in line with changing business needs.
• Serve as a trusted advisor to internal teams, providing guidance and expertise on all aspects of contract administration.
Salary Range: $76,200.00 – $158,800.00/year. Note: the department’s targeted salary range is $76,200.00 – $85,000.00/year.
• Bachelor’s degree in Business Administration, Finance, Public Administration, or a related field; or an equivalent combination of education and experience.
• Experience in contract administration within an academic or research setting – highly preferred.
• Proven proficiency in drafting, reviewing, and negotiating a variety of contract types.
• Exceptional attention to detail and ability to interpret complex legal and business documents.
• Strong ability to clearly explain complex policies, procedures, and legal requirements to a range of stakeholders; capable of educating others on contract processes and persuading them to adopt appropriate interpretations.
• Must be able to report to work on-site (Westwood, Los Angeles) for a minimum of 3 days/week during first six months of hire.
